Terms & Conditions
Effective date: 1 September 2025
These Terms & Conditions ("Terms") govern all enquiries, quotations, and bookings with Tapti Events ("we", "our", "us") via our website www.tapti-events-planner.storeand our official communication channels. Our principal place of business is Eluru, 534001, India.
1. Definitions
- Client: The person/entity making the booking.
- Services: Event planning, coordination, decor, photoshoots, and related services described in your quote.
- Booking Confirmation: Written confirmation (email/WhatsApp/invoice) summarizing scope, date(s), and charges.
- Vendors: Third-party providers (venues, photographers, artists, caterers, etc.).
2. Scope of Services
- Services are limited to what is expressly listed in your quote/Booking Confirmation.
- Items not listed are excluded (e.g., generator, licenses, venue charges) unless explicitly added and paid.
- Visual references are indicative; minor variations may occur due to materials/availability and venue rules.
3. Quotes, Pricing & Taxes
- Quotes are typically valid for 7–14 days unless stated otherwise.
- Pricing is in INR, exclusive of applicable taxes (e.g., GST) and payment gateway charges unless specified.
- Travel logistics, outstation charges, and extraordinary requirements will be billed extra if applicable.
4. Payments & Schedule
- Booking retainer (non‑refundable): typically 25%–50% of the estimate to block date and resources.
- Milestones: commonly 50%–70% before event day; balance on event day or upon deliverables as agreed in writing.
- Late payments may attract interest/late fees. Services may be paused until dues are cleared.
5. Changes, Add‑ons & Rescheduling
- Change requests/add‑ons are subject to feasibility and may alter pricing and timelines.
- One‑time date change can be requested subject to availability and vendor policies; change fees may apply.
- Short‑notice changes (within 14 days of event) may be treated as cancellation if resources can’t be moved.
6. Cancellations & Refunds
Cancellations are governed by our Refund & Cancellation Policy. The booking retainer is non‑refundable. Non‑recoverable vendor charges and custom items are deducted from any refund.
7. Client Obligations
- Provide accurate details, timely approvals, and a single point of contact for decisions.
- Ensure venue access (setup/teardown windows), power supply, basic facilities, and on‑time presence.
- Obtain permits (music, fire, police, society NOC) where necessary; comply with noise/time limits.
- Supervise minors; manage alcohol use per law/venue policy; ensure valuables are secured.
8. Vendors & Deliverables
- We may recommend/coordinate vendors. Vendor terms and venue policies also apply.
- Photography/video: delivery timelines and edit rounds will be confirmed in writing (typical preview 3–7 days; full edits 2–6 weeks depending on scope). Raw files only if agreed.
- Decor/props remain our or vendors’ property unless stated otherwise; damages may be chargeable.
9. Force Majeure
If the event is impacted by circumstances beyond reasonable control (e.g., government orders, natural disasters, epidemics, severe weather), we will assist with a date change/credit in line with vendor policy. Cash refunds are not guaranteed where vendors do not refund.
10. Intellectual Property & Promotion
- You retain ownership of your brand assets; you grant us a limited license to use them for your event.
- Unless you object in writing, we may use event photos/videos for our portfolio and social media.
11. Data Privacy & Communications
- We collect contact and event details solely to deliver Services and communicate with you.
- Data is handled with reasonable safeguards and not sold to third parties; vendors receive only necessary details.
- You consent to being contacted via phone, WhatsApp, SMS, and email regarding your booking.
12. Health, Safety & Compliance
- All parties must adhere to venue rules and applicable laws, including local noise curfews.
- We may decline unsafe requests (e.g., pyrotechnics) without appropriate permissions.
13. Damage, Insurance & Indemnity
- Client is responsible for damages caused by guests to decor/props/equipment at the venue.
- We recommend suitable event insurance for high‑value events or where required by venue.
- You agree to indemnify us for losses arising from your breach of these Terms or unlawful conduct.
14. Warranties, Liability & Limitation
- Services are provided with reasonable skill and care; no implied warranties beyond what is stated.
- We are not liable for indirect or consequential losses. Our total aggregate liability is limited to the amount paid for the specific booking.
15. Dispute Resolution, Law & Jurisdiction
- Governing law: India. Exclusive jurisdiction: Courts at Eluru, Andhra Pradesh.
- Parties will attempt amicable resolution before legal action; optional mediation/arbitration can be considered by mutual consent.
16. General
- Notices may be sent to your registered email/WhatsApp; ours are listed below.
- Severability: If any clause is invalid, the remainder stays in effect.
- Entire Agreement: Your Booking Confirmation/Agreement prevails over any conflicting marketing content.
